How to manage Last Date of Service data and their exports in Renewals
Learn about managing Last Date of Service data and optimizing exports in Renewals for smoother operations.
Introduction
The Last Date of Service (LDoS) Console helps Renewal Engineers identify product or service items that are approaching the end of their service life. Analyzing this data supports proactive hardware refresh planning and ensures that renewal proposals only include items with active service availability.
Monitoring LDoS data enables Renewal Engineers to recommend timely upgrades or replacements for assets nearing service end, reducing support risks and ensuring continuity of services.

Key Terms
| Term | Definition |
|---|---|
| Renewal |
In the VAR ecosystem, Renewal refers to the process of extending, maintenance contract to continue service coverage for hardware or software. This typically involves reviewing expiring contracts, create asset lists for customers to approve, prepare list of assets/services to be priced, and initiate quoting process for services like: Cisco SmartNet maintenance contracts Managed service subscriptions etc.
The renewal process ensures uninterrupted service, and allows for co-terming, identify potential product upgrades, or request for change in service levels. |
| LDoS (Last Date of Service) | The final date when vendor-provided maintenance or support is available for a product. |
| Hardware Refresh | Replacement of outdated or unsupported equipment to maintain service continuity. |
| IC Item | Internal Contract item representing a customer’s asset or component under maintenance. |

1. Purpose of LDoS Analysis
The Last Date of Service indicates when the vendor will no longer provide maintenance or support for a product. Renewal Engineers use LDoS data to:
- Identify hardware that is nearing or past its service end date.
- Evaluate whether the customer’s existing setup requires a hardware refresh.
- Ensure that renewal offers include supported products only.
- Coordinate with the Renewal Manager to plan upgrades or product substitutions.
Understanding LDoS data helps maintain compliance with vendor service policies and enhances the renewal proposal’s quality.
2. Accessing LDoS Console
To open the LDoS Console:
- Navigate to Renewal Engineer or Renewal Manager – Console.
- From the top navigation ribbon, select the LDoS tab.
- The screen opens the LDoS Console, showing columns such as:
- Product Part Number
- Description
- Serial Number
- LDoS Date
- IC Item Name
For renewal manager, all the products with last date of service will be displayed while for renewal engineer, only the products which are under assigned internal contracts to that engineer will be visible.
If no records are shown, ensure the filters (e.g., Account or LDoS period) are correctly set.
3. Filtering and Viewing LDoS Records
Use filters to refine which records appear in the console:
Account – Select a specific customer account or view all accounts.
LDoS Within – Choose the timeframe (e.g., 90 Days, 180 Days, 365 Days) to view items nearing service end within that period.
The table lists all items that match your criteria.
Sorting columns (by LDoS Date or Product Part Number) helps identify the most urgent hardware refresh requirements.
4. Exporting LDoS Data
You can export the filtered LDoS list for review or offline analysis:
Click Export to Excel on the top-right of the console.
The exported file will contain all visible fields, such as product details, LDoS dates, and internal contract item names.
Use the exported sheet for:
- Internal hardware lifecycle analysis.
- Cross-team discussions on potential replacements.
- Customer-facing presentations for upcoming renewals.
Tip: Maintain a shared folder for LDoS exports to track periodic analyses and plan hardware upgrade cycles.
5. Using LDoS Insights in Renewals
LDoS data helps Renewal Engineers make informed renewal recommendations by:
- Flagging unsupported items for replacement.
- Suggesting service-eligible alternatives.
- Informing the Renewal Manager of any high-impact items that require escalation.
- Aligning contract renewal timelines with hardware refresh opportunities.
By integrating LDoS insights, the renewal process becomes proactive, ensuring both technical and commercial alignment for long-term customer satisfaction.
Summary
The LDoS Console serves as a valuable tool for monitoring end-of-service timelines, supporting informed decisions on renewals and upgrades. By regularly reviewing and exporting LDoS data, Renewal Managers ensure that customers remain on supported service plans.
