Introduction 

After a Customer quote is created and StrataVAR Partner Quoting Workspace (PqW) console is launched, the next step is to add one or more Bills of Materials (BoMs) to the quote.

This article explains:

  • How to add entire BoMs to a quote
  • How to add selected BoM items only
  • When to use Quick Add vs Copy BoM Items
  • What happens after BoMs or items are added

This article focuses only on adding BoMs or BoM items. Editing pricing, margins, grouping, and validation are covered in subsequent articles.


Why This Is Needed & Where It Fits in the User Journey

In PqW, BoMs are the source of quote items.
Before pricing or margin adjustments can begin, relevant BoMs or BoM items must be copied into the Customer quote.

This step sits after BoM import and before quote editing, as shown below:

BoM Import → Add BoMs / BoM Items → Edit Quote → Pricing & Validation → Export

In this article, the selection examples focus on BoMs such as: Disti BoMs (File-based), Estimate, Deal registration etc

Cisco CCWR BoMs follow a different workflow and are covered in a separate article.


Prerequisites

Before proceeding, ensure that:

  • A Customer quote already exists
  • PqW console has been launched using Copy BoMs to Quote/Edit quote
  • One or more BoMs are available (via API import or file import)

Step by Step Process

Step 1: Launch Quoting console via Quote Details Page

  • In the Quote detail page, in action menu, click on Copy BoM to Quote Button to launch PqW console.

Step 2: Understand Select BoM tab and Review BoMs

When the PqW console opens, you land on the Select BoMs tab.
This tab is used to review and identify BoMs before deciding how to add them to the Customer Quote.

At this stage, no data is copied to the quote yet.

  • Select BoMs tab serves as the starting point for building the quote and allows you to review, filter, and select BoMs before adding them to the Customer Quote.

What You Can Do in This Tab

From the Select BoMs tab, you can:

  • View all BoMs available for selection based on the chosen BoM source
  • Filter and search BoMs using column-level filters and operators
  • Select one or multiple BoMs to add to the quote
  • Add selected BoMs to quote
  • Switch between different BoM sources
  • Navigate to the connected Opportunity directly using hyperlinks
  • Control how many BoMs are displayed using pagination controls

This review step helps you identify the most relevant BoMs before copying them into the quote. Before selecting BoM, it is important to understand about Select BoM tab which is described below.

Understanding BoM Sources

Use the BoM Source dropdown to control which BoMs are displayed. The following sources are available:

  • Opportunity BoMs

Displays only the BoMs that were imported under the current Opportunity. Use this option when you want to work strictly within the scope of the active Opportunity.

  • Account BoMs

Displays all BoMs imported for the selected Account, including BoMs associated with other Opportunities under the same Account. This is useful when reusing BoMs across multiple deals for the same customer.

  • Reusable BoMs

Reusable BoMs are BoMs that were originally imported under a specific Opportunity or Project but have been marked as reusable. These BoMs can be used across different Accounts, Opportunities, or Projects.

Example: In IT/VAR scenarios, a Standardized Installation Kit or Common Services Package can be defined as a reusable BoM and added to quotes across multiple customer engagements.

  • Reusable and Opportunity BoMs

Displays both reusable BoMs and Opportunity-specific BoMs together, allowing you to combine standard kits with opportunity-specific materials in a single quote.

Note: Defining a BoM as reusable is covered in a separate article.

 

Reviewing BoMs Before Selection

Each BoM row displays key details such as:

  • BoM Number and Name
  • BoM Type (for example, Disti BoM, Estimate)
  • Associated Opportunity
  • Vendor and Source
  • Pricing summaries and item counts

You can click the Opportunity Name hyperlink to navigate directly to the Opportunity detail page for additional context before selecting the BoM.

Filtering, and Pagination

When there are a large number of imported BoMs under Opportunity/Account etc, you might need to use filters or pagination to locate the required BoMs. To efficiently locate BoMs:

  • Use column filters at the top of each column. Change filter operators (for example: equals, not equals, greater than, less than) as needed. For example, view the items with price more than 50,000 USD.

 

 

 

  • Adjust pagination controls to change how many BoMs are displayed per page.

Once you’ve reviewed and selected the relevant BoMs, you can proceed to add them to the Customer Quote using Quick Add or Copy BoM Items, as explained in the next steps.


Step 3: Choose How to Add BoMs to the Customer Quote

After reviewing and identifying the relevant BoMs in the Select BoMs tab, the next step is to decide how those BoMs should be added to the Customer Quote.

PqW provides following approaches for adding BoMs to a quote. The approach you choose determines whether entire BoMs or only selected items are copied into the quote.

Option When to Use
Quick Add to Quote Button When all items from the selected BoMs are required and no item-level filtering is needed. All items are copied in quote and Edit tab opens in console.
Copy BoM Items When only specific items from a BoM are required and item-level control is needed. Copy BoM items tab open listing individual items of all selected BoMs.

Once the approach is selected, follow the corresponding steps in the next section.


Step 4: Add BoMs or BoM Items to the Quote

Based on the option selected in Step 3, proceed with either Option A or Option B.

Option A: Quick Add BoMs to Quote (Add Entire BoMs)

Use this option when you want to add all items from the selected BoMs into the quote.

When to Use This

  • The entire BoM is required
  • No item-level filtering is needed
  • You want to proceed quickly to quote editing

Steps

  • Select one or more BoMs
  • Click Quick Add to Quote Button
  • All items from the selected BoMs are copied into the Customer quote.

Result

  • All items from the selected BoMs are copied into the Customer Quote
  • The system automatically opens the Edit view
  • The quote contains all BoM items exactly as defined in the source BoMs

Option B: Copy Selected BoM Items (Selective Add)

Use this option when you want to add only specific items from a BoM.

When to Use This

  • Only certain items from a BoM are needed
  • You want to exclude optional or placeholder items
  • You want tighter control before quote creation

Steps

  • In the Select BoMs tab, select one or more BoMs.
  • Click the Copy BoM Items tab.
  • The Copy BoM Items tab opens and displays all items from the selected BoMs, allowing you to review and select items at a granular level.

Item-level review, filtering, and selection in this tab are explained in detail in the next step.


Step 5: Review and Select Items in the Copy BoM Items Tab

The Copy BoM Items tab provides a detailed, item-level view of all items contained in the selected BoMs. This tab is used to review, filter, and precisely control which BoM items are copied into the Customer Quote.

At this stage, no items have been copied to the quote yet.

In the Copy BoM Items view, you can:

  • Select individual BoM items using checkboxes
  • Use column filters to narrow down items
  • Use the eye icon to focus on selected or relevant rows
  • Remove unwanted items using the delete option (items removed here will not be copied to the quote)

This view allows precise control over which items are carried forward.

 

Layout and Structure of the Copy BoM Items Tab

The tab displays items in a hierarchical structure, organized as follows:

  • BoM level – Represents the selected BoM
  • Box level – Logical grouping of items within a BoM
  • Item level – Individual quoteable items

Each BoM can contain one or more boxes, and each box can contain multiple items.

 

Selection Behavior (BoM, Box, and Item Level)

Selection behavior depends on where the selection is made:

  • Selecting a BoM header selects all boxes and items under that BoM
  • Selecting a box header selects all items within that box
  • Selecting an individual item selects only that specific item

By default, selection is tied, meaning selections apply at the BoM or box level.

 

Tie and Untie Controls for Item-Level Selection

To enable individual item selection, Click the Untie icon in the toolbar.

Once untied:

  • Each item row displays its own checkbox
  • Items can be selected or deselected independently

 

 

This allows granular control when only specific items from a box or BoM are required.

Reviewing Item Details

Each item row displays detailed information to help validate what will be copied into the quote, including:

  • Line number and change tag
  • Part number and description
  • Unit list price and quantity
  • Extended list price
  • Discount percentage
  • Extended net price
  • Vendor information

You can review this information and ensure the items data is correct and relevant.

Filtering and Refining Item Selection

To locate specific items within large BoMs:

  • Use column filters at the top of each column
  • Change both filter operators (equals, not equals, greater than, less than, etc.) and filter values

Filters can be used to:

  • Identify high-value items
  • Exclude zero-priced items
  • Search by part number, description, or vendor

Pagination controls allow you to adjust how many items are displayed per page when working with large item lists.

Visibility Controls (Eye Icon)

Use the eye icon in the toolbar to control item visibility:

  • All items – Displays every item in the selected BoMs

 

 

  • Box headers only – Displays only BoM and box headers with rolled-up pricing

 

 

  • Priced items only – Displays only items with a non-zero price

 

 

This helps reduce clutter and focus on relevant items during selection.

Removing Items from Selection

Use the Delete icon to remove selected items from the current selection

Items removed here will not be copied to the Customer Quote.

This does not delete items from the source BoM — it only affects what is included in the quote.

Refreshing the View

Use the Refresh icon to refresh the selected quote items view

This is useful after changing filters or selection states.

 

Copying Selected Items to the Quote

Once item review and selection are complete:

  • Click Copy Selected BoM Items to Quote

 

 

  • Only the selected items are copied into the Customer Quote which will be visible in Quote section on right side

 

 

  • You can review the quote items here and proceed with editing by moving to edit tab.

At this point, the Customer Quote contains only the items you explicitly selected, ready for pricing, grouping, and validation.


What Happens After BoMs or Items Are Added

After items are copied into the quote, the quote moves into Edit mode.

Users can begin:

  • Reviewing quantities and terms
  • Adjusting pricing, margins, or discounts
  • Grouping items
  • Preparing the quote for validation

No pricing changes are required at this step — it simply establishes the quote content.


Conclusion

By completing this step, you have:

  • Reviewed BoM content at an item level
  • Selected only the required items
  • Ensured precise and intentional quote assembly
  • Prepared the quote for downstream editing and pricing

Adding BoMs or BoM items to a Customer quote is the foundation of the quoting process in PqW.
By choosing between Quick Add and Selective Item Copy, users can control both speed and accuracy when building customer-ready quotes.
