How to Export Grid Data to Excel
Learn efficient methods for exporting grid data to Excel, streamlining data management and enhancing productivity.
Introduction
The grid lets you export its data directly to an Excel file — a quick way to share records with a colleague, review them offline, or send information to an external party. The export captures your grid data as-is, so what you download matches what you see on screen.
This article explains:
- What you need before you can export
- How to export the grid to Excel
- What the file includes, and how your current view affects it
- Where grid export is commonly used across PrW and PqW
- What to keep in mind before exporting and sharing
Prerequisites
The Export option must be enabled on your grid. If you don't see it, contact your Grid Administrator to enable export for your grid configuration.
Step-by-Step: Exporting Grid Data
Step 1 – Open the grid menu
Click the 9 dots menu icon on the grid Action toolbar. Or the console might display Export button in the toolbar itself.
Step 2 – Select Export
Choose Export from the dropdown.
Step 3 – Download the file
An Excel file (.xlsx) downloads to your computer with the grid data.
Important: the export reflects your current view. Any filters, sorting, or grouping you've applied are carried into the file, and hidden columns are left out. To export the complete dataset, clear all filters and use Load All before you export.
What the File Includes
- All visible columns in the grid.
- Data in its current view — active filters, sorting, and grouping are applied to the file.
- Hidden columns are not included.
- For grouped grids, the data is flattened into rows.
The file contains raw data only — it won't carry the grid's styling, colors, or conditional formatting.
Where Grid Export Is Commonly Used
Grid export appears across several PrW and PqW consoles:
| Console | Typical use |
|---|---|
| Pricing Request Console (PrW) | Export PR items to send to suppliers for costing |
| Asset List Console (PrW) | Export asset list items for customer review and validation |
| IC Console (PrW) | Export contract items for reporting and review |
| Managed Subscription Console (PrW) | Export subscription items for client validation |
| Edit Quote Grid (PqW) | Export quote line items for offline review |
Things to Keep in Mind
- Large datasets — exporting many records may take a few moments. Wait for the download to finish before navigating away.
- Sensitive data — exported files may contain pricing, customer, or contract information, so take care when sharing them.
Summary
Grid export gives you a one-click Excel copy of your data for sharing, offline review, or sending to suppliers and customers. Because the file mirrors your current view, you control exactly what's exported through the filters, sorting, and columns you have in place — just remember to clear filters and load all records when you need the complete set.
