Introduction

As quote volumes grow, finding and reviewing specific quotes or individual quote items becomes critical. The Search Quote and Quote Items console in PqW provides a dedicated interface for locating, filtering, and reviewing quotes and their line items across accounts, opportunities, and statuses — without opening each quote individually.

Prerequisites

For Search Quote and Quote Items, make sure:

• You have access to the Search Quote and Quote Items console/tab in PqW. Both Admin and PqW users have access by default.
• You have the appropriate PqW permission sets assigned (StrataVAR PqW for Standard users, or StrataVAR Admin PqW for Admins).
• You understand your organization's quote naming and status conventions, so you can build effective filters.
• If you are unsure about your access, check with your PqW administrator.

Understanding the Console Layout

The Search Quote and Quote Items console contains two main tabs:

Each tab has its own set of server-side filters (at the top) and a results grid (below). In the grid, you can perform certain actions like export, edit the applicable fields, and create new quote/quote items etc.
The server-side filters query the database and return matching records. The results grid supports additional column-level filters for further in-place refinement.

Search Quote- Step By Step Process to Access/ Search

Step 1 – Open the Console

1. In Salesforce, open the StrataVAR PqW app.
2. From the App Launcher (9-dots), search for Search Quote and Quote Items and click to open it.
3. Make sure you are on the Search Quote tab.

Step 2 – Set Your Filters

The Search Quote tab provides the following server-side filters at the top:

Default behavior: When you first open the tab, the filters are preset to Account = All, Quote Status = All, Created Date = All, and Created By = your user. Results load only after you click the Apply (or Search) button.

To reset filters to the defaults, click Reset Filters.

Step 3 – Review Search Results

After applying filters, the grid displays matching quotes with the following columns:

Grouping: Results are grouped by Account and Opportunity/Project, sorted alphabetically. You can use adjacent arrow to expand and collapse the group as needed.

Sorting: Click any column header to toggle between ascending and descending sort order.

Column Filters: Each column in the results grid also supports its own filter (click the column header's filter icon). Numeric columns support operators like Equal, Not Equal, Less Than, etc. Text columns support Equal and Not Equal.

Step 4 – Take Action on a Quote

From the Search Quote grid, you can:

• Click a Quote number to navigate directly to the quote's header page.
• Activate or Deactivate quotes using the row actions or Active flag column — see the separate article Activate/Deactivate Quotes from the Search Quote Page for full instructions.
• Export the Quotes in Excel
• Refresh the Grid

Search Quote Items- Step By Step Process to Access/ Search

Use this tab when you need to find specific line items — for example, locating all items with a particular part number across multiple quotes, or reviewing pricing for a specific item type.

Step 1 – Switch to the Search Quote Items Tab

1. From the Search Quote and Quote Items console, click the Search Quote Items tab.
2. In Search Quote Items tab, you will see server filters with default value, click on the Apply button to load the data.

Step 2 – Set Your Filters

The Search Quote Items tab provides the following server-side filters:

Default behavior: Filters are preset to Account = All and Item Type = All. Results load only after you click the Apply button.

To go back to the default settings, click on Reset Filter Option.

Step 3 – Review Search Results

The results grid displays matching quote items with the following columns:

Grouping: Results are grouped by Account, Opportunity/Project, and Quote Number, all sorted alphabetically. Items within each quote group are sorted by Quote Item Number in ascending order.

Column Filters: Like the Search Quote tab, each column supports its own filter with appropriate operators (text columns support Contains; numeric columns support comparison operators).

Tips for Working in Search Quote and Quote Items

• Start broad, then narrow: Begin with a high-level filter (e.g., Account only) and progressively add more filters to zero in on the records you need.
• Use column filters for on-the-fly refinement: After the server returns results, use column-header filters to further slice the data without re-querying.
• Be mindful of large datasets: If your org has tens of thousands of quote items, loading all records at once can slow down the page. Use server-side filters to limit the initial dataset before clicking "Load All."
• Check the right tab: If you need quote-level summaries (totals, status, version), use Search Quote. If you need item-level detail (part numbers, line pricing, item types), use Search Quote Items.
• Reset Default to start fresh: If filters become confusing, click Reset Filter to return to the baseline filter configuration.
