How to Review the Internal Contracts and Track Renewal Progress
Learn about renewal manager actions in IC console
Introduction
In this article, you will learn how a Renewal Manager (RM) can use the Internal Contracts (IC) Console to review contract data, monitor renewal readiness, and track progress across renewal projects.
While most processing actions are performed by the Renewal Engineer (RE), the Renewal Manager uses this console to:
- Review contract-level data
- Identify gaps or delays
- Coordinate with the RE for timely execution
- Intervene when required
Key Terms Used
| Term | Definition |
|---|---|
| Renewal |
In the VAR ecosystem, Renewal refers to the process of extending, maintenance contract to continue service coverage for hardware or software. This typically involves reviewing expiring contracts, create asset lists for customers to approve, prepare list of assets/services to be priced, and initiate quoting process for services like: Cisco SmartNet maintenance contracts Managed service subscriptions etc
The renewal process ensures uninterrupted service, and allows for co-terming, identify potential product upgrades, or request for change in service levels. |
| Renewal Dashboard | Visual interface showing accounts and contracts approaching expiration |
| Renewal Project | A grouped set of Internal Contracts related to a customer |
| Internal Contract (IC) | System-generated record that mirrors a vendor contract, storing contract items |
| IC Console | Workspace to review and act on contract items |
| IC Items | Line items such as SKUs, services, or subscriptions within an Internal Contract |
| Asset List | A selected list of IC Items to be prepared for customer review and pricing |
| Co-termination (Co-term) | The process of aligning contract end dates across items to simplify renewals. |
Understanding the Internal Contracts Console Layout
The Internal Contract Console displays a tabular view of internal contracts associated with renewal projects.
Key sections:
- Filter Bar (Top) : Apply server-side filters
- Action Buttons (Top Right) : Perform actions like co-term analysis, export, delete
- Data Grid : Displays contract-level details
- Selection Checkboxes : Select ICs for further actions

Reviewing Internal Contract Data
Each row in the IC Console represents an Internal Contract (IC) grouped under:
- Account Name
- Renewal Project Name
To expand or collapse the individual records in these groups, you can click on the Arrow icon. This allows you to focus on specific account/renewal projetcs etc. Each of the account name, IC name a, and renewal project is hyperlinked and allowshe renewal manager to navigate to their respective detailed pages.
Key Columns Explained
| Column | Description |
|---|---|
| Stage | Current status of the IC (e.g., Due for Renewal, Expired, Covered) |
| Manufacturer | Vendor associated with the contract |
| IC# | Unique Internal Contract identifier |
| Expiration Date | Contract end date |
| # of Assets | Total assets under the contract |
| # of Covered Items | Items already covered under renewal |
| # of Items Due | Items pending renewal |
| # of Items in Progress | Items currently being processed |
You should primarily focus on:
- Contracts nearing expiration
- High number of “Items Due”
- Gaps between total assets vs covered items
Applying Server-Side Filters
Server-filters provide advanced filtering capabilities to refine the contract data in the grid. These
- User Filter : Filter ICs assigned to specific users
- Stage Filter : Filter based on contract status
- Renewal Account Filter : Filter contracts for specific accounts
Accessing Additional Filters
Click the “+” (Add Filters) icon to open the Additional Filters dialog. From here, you can apply more granular filters, such as:
- Renewal Project: View contracts linked to specific projects
- Internal Contract : Search for a specific IC record/records
- Earliest End Date of Expired Items : Identify contracts with expired items based on date

These filters are especially useful when:
- Reviewing specific renewal projects
- Investigating exceptions or edge cases
- Narrowing down large datasets for focused analysis
Understanding Filter Criteria Options
Each filter allows you to define how the data should be matched using different criteria.
| Criteria | Description |
|---|---|
| Contains | Returns records where the field includes the entered value |
| Does Not Contain | Excludes records containing the entered value |
| Begins With | Filters records that start with the specified value |
| Equals | Matches exact values |
| Not Equal | Excludes exact matches |
| Empty | Returns records where the field has no value |
| Not Empty | Returns records where the field has a value |
Using Column-Level Filters
Each column header includes a filter/sort option.
You can:
- Sort data (ascending/descending)
- Filter specific values within a column
- Narrow down results dynamically

Available Actions in IC Console
From the Actions menu (top right), Key Actions available:
-
Analyze for Co-Term
- Helps align contract end dates
- Important for renewal optimization
-
Delete
- Remove selected ICs (use cautiously)
-
Export
- Export IC data for offline analysis or sharing
-
Refresh
- Reload latest data in the console

These actions are typically performed by the Renewal Engineer, but you can also perform these depending upon the need.
Role of Renewal Manager in Internal Contracts Processing
You can
- Review contract status and readiness, progress across renewal project and data completeness
- Monitor bottlenecks in processing, delays in Asset List transition
- Coordinate with Renewal Engineers for progress and timelines
- Intervene when required by performing all actions available to Renewal Engineers
Summary
In this article, you learned how to navigate and review the Internal Contracts Console, understand key fields, indicators and monitor progress of renewal project. This helps the manager to assess the renewal project progress and intervene if needed.
