Introduction 

After BoMs or selected BoM items are added to a Customer Quote, the next step is to Edit tab in PqW console.

The Edit tab is where users review quote content, make adjustments, and prepare the quote for pricing, validation, and export.

This article explains:

  • How to navigate and understand the Edit Quote console
  • What information is displayed in different sections of the Edit tab
  • How to edit quote items using available actions and controls
  • What happens after edits are made

This article focuses only on understanding and using the Edit Quote console.
Detailed explanations of pricing calculations, discount logic, grouping rules, and validation are covered in separate articles.


Why This Is Needed & Where It Fits in the User Journey

In PqW, adding BoMs or BoM items defines what goes into the quote.
Editing the quote defines how those items are structured, adjusted, and prepared before pricing and validation.

This step sits after BoMs are added and before pricing and validation, as shown below:

BoM Import → Add BoMs / BoM Items → Edit Quote → Pricing & Validation → Export

The process of adding BoMs or BoM items is covered in the Add BoMs / BoM Items to a Quote article.

 

Prerequisites

Before proceeding, ensure that:

  • A Customer Quote already exists
  • One or more BoMs or BoM items have been added to the quote
  • The PqW console is open in Edit mode

Step-by-Step Process

Step 1: Open the Edit Quote Console

After BoMs or selected BoM items are copied into the Customer Quote, the next step is to open Edit tab in PqW console for quote processing. 
When you use option Quick Add to Quote by selecting BoM/BoMs in Select BoM tab, PqW copies all items of BoM to quote and automatically opens the Edit tab.

Alternatively you go to Edit tab from Copy BoM items as mentioned in previous article after copying selected BoM items to the Quote.

 

The Edit tab is the central workspace where all quote review and modifications take place.


Step 2: Understand the Edit Quote Console Layout

Before making any changes, it is important to understand what you see in the Edit Quote console.

The Edit tab is broadly divided into the following areas:

  • Summary section
  • Quote item list (grid)
  • Columns and inline edit fields
  • Action toolbar and controls

Each section is explained below.


Step 2.1: Summary Section (What You See at the Top)

The summary section, displayed at the top of the Edit Quote console, provides a real-time, aggregated view of pricing and profitability for the entire quote. Typical information shown includes:

  • Total list price
  • Total customer price
  • Discounts and adjustments
  • Optional item totals (if applicable)

These values update automatically as quote items are edited.

This section is read-only and updates automatically as quote items are edited.

How the Summary Section Works

Each field in the summary section represents a rolled-up aggregation of a corresponding column in the quote item grid below.

When you hover over a summary value, a breakdown by item type (for example: hardware, software, services, undefined) is displayed.

This allows users to quickly understand how different types of items contribute to overall pricing and cost.

Summary Fields (High-Level Explanation)

The summary section typically includes the following fields:

  • Total List Price : The original list price from the source BoMs, before any adjustments are made in PqW.
  • VAR Total Cost : The total discounted cost paid by the VAR to Cisco or a distributor.
  • Customer Total Price : The total price that will be charged to the customer for this quote.
  • VAR Total Profit : The difference between the Customer Total Price and the VAR Total Cost.
  • Customer Discount : The weighted average customer discount across all quote items.
  • VAR Discount : The weighted average discount received by the VAR from the supplier.
  • Total Profit + VIP : The total estimated profit including any VIP incentives.

Summary Section Action Buttons

The summary area also includes key action buttons that control selection, visibility, and pricing behavior.

Common actions include:

  • Tie / Untie – Enables item-level selection within boxes
  • Select All / Deselect All – Selects or clears all visible quote items
  • Filter View – Switches between All Items, Box Headers Only, or Priced Items Only
  • Save – Saves all quote edits
  • Set Discount Mode – Controls how pricing edits affect Customer, VAR, or Margin fields

Step 2.2: Quote Item List (Grid View)

Below the summary section is the Quote Item grid, which displays all items added to the quote.

Items are displayed in a hierarchical structure, typically organized as:

  • Group level (if groups are defined)
  • Box level (logical grouping of items)
  • Line item level (individual quotable items)

Each box can contain:

  • A major line item
  • One or more minor line items

Step 2.3: Columns and Field Visibility

Each row in the grid displays multiple columns, such as:

  • Item description and identifiers
  • Quantity and unit pricing
  • Discounts and extended prices
  • Vendor or supplier information

Some fields are editable directly in the grid, while others are read-only.

Step 2.4: Filtering, 

You can further refine what is displayed using:

  • Column-level filters: You can set specific value of individual columns to get only the items which require reviews, editing etc. 
  • Filter operators (equals, greater than, less than, etc.): You have the option to choose from multiple operators and set the values as needed.

Step 3: Action Toolbar and Console Controls

The Edit Quote console includes a toolbar with multiple actions that control how items are viewed and edited.

Common actions include:

  • Tie / Untie
  • View controls (eye icon)
  • Delete
  • Calendar (Service duration updates)
  • Pricing or discount-related actions
  • Save

Important actions are briefly explained below.


Step 3.1: Tie and Untie Controls

By default, selections in the grid are tied, meaning selections apply at the box level.

Using the Untie action:

  • Enables item-level checkboxes
  • Allows selecting or editing individual line items within a box

Step 3.2: View Controls (Eye Icon)

The eye icon controls how items are displayed in the grid.

Available views typically include:

  • All items- Here you can see all the quote items displayed grouped in a box and BoM item.
  • Box headers only- Use this setting to view only the box header. All the items grouped in the box are hidden in this view.
  • Priced items only- With this view, you will see only the non zero priced items

These views help reduce clutter when working with large quotes.


Step 3.3: Selection, Deletion, and Other Quote-Level Actions

Once quote line items are added to the grid, you can perform several actions to manage, organize, and refine the quote. These actions are available from the quote toolbar and apply to selected items or to the quote as a whole.

Selecting Line Items

  • You can use Select All button as shown below to select all the visible items in the quote. This can be used if any bulk operation is to be executed for every item in quote. 

Deleting Line Items 

  • This button deletes the selected items from the quote. 
  • Select one or more line items by either by selecting through box or by using untie button to enable individual selection
  • Click Delete to remove them from the quote.
  • Deletion updates the quote totals immediately.

Grouping Line Items

  • Grouping helps organize complex quotes and improves readability. There are three grouping options that help in customized grouping of Quote items into different groups(boxes). 
  • Click on Set Group/Set Grouping Package/Quick Grouping button and open the window to define and customize groups containing quote items. 

Saving the Quote

  • Click Save button to persist all changes made to the quote.
  • You can save changes in quotes after Inline edits, grouping, and deletions. 

Currency Settings

  • The Currency option allows you to select and calculate quote values in the selected currency.
  • Currency selection affects pricing, totals, and summary values.

Simplifying the Quote

  • Use Simplify Quote to reduce visible complexity by consolidating pricing or hiding detailed breakdowns.
  • This is useful when preparing a quote for customer review.

Cloning Boxes

  • This feature allows you to create a duplicate of the selected box and items under it. You can clone all selected boxes and add them to quote.
  • Select one or more box in the quote.
  • Click Clone Boxes to create a copy of the selected box and items.
  • The cloned box retains line items and structure, allowing quick modifications without starting from scratch.


Step 4: Editing Quote Items

Once you understand the console layout, you can begin editing quote items.


Step 4.1: Inline Editing/Bulk in the Grid

Some fields can be edited directly within the quote grid. Editing allows you to do quick operations and update the desired values and pricing in the quote.

  • Double-click any editable field in a row.
  • The entire row becomes editable at once.
  • All editable fields in that row can be updated together — there is no separate action for row-level vs field-level editing.


Step 4.2: Bulk Editing in Quote Items

For Bulk editing of multiple items, you need to use the operations section. Here, you need to select the field you want to update and choose among the operations you want to perform and set to specific value.

  • You can either select all items - if same update is required across items. Or You can untie items, select the specific items and update
  • Select the specific field you need to update in selected items ,choose among operations and set the value you need to update.


Step 4.3: Marking Items as Optional

Items can be marked as Optional, indicating they are not included in the main customer total.

When an item is marked optional:

  • It moves to an optional section in summary
  • It is excluded from primary pricing totals

Step 4.4: Updating Start and End Dates (Service & Software Items)

For quote, service or software items, you can update Start and End dates

  • To update quote start and end date, use the summary section “Click to Set” buttons.

  • For updating dates for items, check “Item type” field.
  • Select the specific item with item type Service or Software
  • Click on calendar icon button and set the required date.


Step 5: Pricing and Calculation (High-Level Overview)

As edits are made, PqW automatically recalculates pricing and totals based on predefined rules.

At this stage:

  • Calculation modes are already set
  • Editing customer, VAR, or margin fields triggers recalculation
  • Only one calculation dimension is adjusted at a time

What Happens After Editing the Quote

After completing edits:

  • The summary section reflects updated totals
  • The quote structure is finalized
  • The quote is ready for pricing validation and export
  • No validation or approval happens automatically at this step.

Conclusion

By completing the Edit Quote step, you have:

  • Reviewed quote structure and content
  • Adjusted quantities, dates, and item attributes
  • Used console actions to control visibility and selection
  • Prepared the quote for pricing, validation, and finalization

Editing the quote is a critical step that ensures accuracy and readiness before customer-facing actions.
